How to Plan Event Branding: A Production Checklist

Coordinate the brief, artwork, venue details, production, delivery and installation before event day.

Confirm the scope and owners

List each branded item, quantity, destination and deadline. Decide who approves artwork, who coordinates with the venue and whether production, delivery, setup or removal are included.

Collect venue information early

  • Confirm final dimensions, mounting points and any restrictions on materials or fixing methods.
  • Check access times, loading arrangements, safety rules and contacts for event day.
  • Identify which pieces need to be installed and who is responsible for each.

Prepare final artwork

  • Confirm dimensions, bleed, safe areas, panel joins and file requirements with the production partner.
  • Supply logos, fonts and linked assets, and confirm colour references.
  • Review proofs and approve the final artwork before production starts.

Plan delivery and setup

  • Agree how the pieces will be packed, labelled and sent to the venue.
  • Confirm the installation sequence, access window and on-site point of contact.
  • Decide how unused materials will be stored, returned or disposed of.

Keep a single event checklist

Record the approved quantities, files, specifications, contacts and dates in one place. Build in time for approvals and changes. The production timeline depends on the items, quantities, finishing and venue requirements, so confirm dates with the team before announcing them to attendees.
